Microsoft Forms, Google Forms or Jisc Online Surveys for marketing automation research
Compare three marketing automation survey tools by routing, export and operational fit, with first-party evidence and UK privacy questions for buyers.
Marketing automation survey tools should be selected after the questionnaire and sample are defined. Branching and exports are useful, but neither makes a leading question representative. This comparison covers three form services that publicly document both route logic and response analysis or export. In this kind of study the questionnaire usually asks buyers or users of marketing automation platforms about workflows, contracts and evidence, so the form service decides how cleanly those answers can be routed, exported and later matched to records.
Method: desk research completed 5 September 2026 using current first-party help or feature pages. The common criteria were conditional routing, visible analysis or export routes, and operational questions an England-based organisation should verify. Prices, enterprise contract terms, uptime, accessibility conformance, support quality and real-world usability were excluded because they were not tested on a common basis. No account was opened and no survey was conducted. There is no commercial relationship with any provider named here. Licence and subscription prices change and are set by each provider, so request the current price list and the tier that matches the planned number of responses before you compare quotations.

What to take away
- Define the questionnaire and sample before choosing any marketing automation survey tool.
- Microsoft Forms, Google Forms and Jisc Online Surveys all document routing and export routes.
- Desk research narrows due diligence but does not identify a universal winner for organisations.
- Keep the survey tool decision separate from the marketing automation platform or CRM that will hold the contact.
- Run the same pilot in each shortlisted tool before committing to a platform.
- Decide what personal information is needed before selecting a survey platform.
Where the survey tool sits in marketing automation research
A marketing automation study runs on two separate systems. The form service collects the response; the marketing automation platform, CRM or connector — HubSpot, Mailchimp or Zapier, for example — holds the contact record and moves it onward. Microsoft Forms, Google Forms and Jisc Online Surveys are the first of those two, not the second, so keep the two buying decisions apart.
Name the link before you build the questionnaire. If named respondents will later be matched to a record in a marketing automation platform, or moved between systems by a connector, note which identifier travels, why it travels and when it is deleted. If nothing travels, say so and treat the study as standalone.
Microsoft Forms
Microsoft's branching instructions say a branch can move forward to a later question or end the form, but not return to an earlier item. Its separate export page says responses can be opened in an Excel workbook. This may fit a team already governed through Microsoft 365, but that is a procurement hypothesis, not a finding from hands-on testing.
Prototype every route on paper first. A one-way branching constraint can produce an unintended early submission if the question order is poorly designed. Confirm which tenant owns the workbook and who can access it before inviting respondents.
Google Forms
Google documents that answer-based section routing is available for multiple-choice and dropdown questions. Its overview of using Google Forms says teams can analyse responses in the service or store them in Google Sheets.
That covers the criteria visible here, but not the organisation's governance requirements. Buyers should test collaborator permissions, response ownership, offboarding and deletion inside their own Workspace configuration. Do not infer a security or compliance outcome from a generic feature page.
Jisc Online Surveys
The first-party Online Surveys feature table lists conditional display logic at page and question level, several response downloads and aggregate analysis. The page also shows that capabilities and response limits vary by subscription, so a team should save the dated tier evidence used for its decision.
Its broader research positioning may be relevant to a structured study, yet suitability still depends on the data, participants and organisational controls. Request the current contract and verify how respondent lists, unique links and exported files are handled.
Which tool fits which research job
Weight the criteria to the study rather than to the product.
- Route shape. If every eligible respondent answers the same items in the same order and the draft only moves forward, Microsoft Forms' one-way branching is enough. If different answers must lead to different sections, Google Forms routes on multiple-choice and dropdown answers. If display logic has to act at both page and question level inside a structured study, that is the control Jisc Online Surveys documents.
- Where the analysis happens.Microsoft Forms opens responses in an Excel workbook; Google Forms analyses in the service or stores responses in Google Sheets; Jisc Online Surveys offers several response downloads. Decide which file the analysis will run from before you build.
- Who owns the account.Microsoft Forms sits inside a Microsoft 365 tenant, so tenant administration and workbook ownership decide access. Google Forms sits inside a Workspace configuration, where collaborator permissions and deletion have to be tested. Jisc Online Surveys is a subscription product, so the tier and its response limit are set by the contract in force.
No single tool wins on all three counts, and the weighting is what decides. A team already governed through Microsoft 365 that needs forward routing only will reach a different answer from a research team that needs conditional display logic and several export formats.
Apply one privacy test to all three
The research team must decide what personal information is needed before choosing a platform. Participation agreement, Article 6 lawful basis and later marketing permission are separate records.
If the provider processes participant data on the organisation's behalf, the ICO's controller and processor contract guidance identifies matters including instructions, security, subprocessors, rights support, and deletion or return at contract end.
Those duties come from the UK GDPR read with the Data Protection Act 2018. Most organisations that process personal data must also pay the ICO's data protection fee and appear on the register of fee payers, so an England-based team should confirm its registration position before fieldwork. Record why each field is collected, where responses are stored and when they are deleted, and keep the study's entry in the organisation's record of processing activities up to date.
Run the same pilot in each shortlisted tool: one eligible route, one screen-out, one withdrawal request, one export, one deletion exercise. Test keyboard use and an assistive-technology path with appropriate expertise.
Ask each provider for its accessibility statement and check the pilot against WCAG 2.2 AA, then verify the claims you were given in the pilot itself.
Results may differ between organisations even with an identical survey design, so this desk comparison narrows due diligence rather than naming a universal winner. The weighting above is the part worth arguing about: agree the route shape, the analysis file and the owning contract before comparing any two tools side by side.
Before you act
- Define the questionnaire and sample first.
- Prototype every route on paper before building.
- Confirm tenant controls, ownership and deletion routes.
- Verify subscription tier and processor terms.
- Run one pilot covering routing, withdrawal, export and deletion.
- Test keyboard use and an assistive-technology path.
Common questions
What did the comparison actually test?
It was desk research completed on 5 September 2026 using current first-party help or feature pages. Prices, enterprise contract terms, uptime, accessibility conformance, support quality and real-world usability were excluded because they were not tested on a common basis. No account was opened and no survey was conducted.
What can Microsoft Forms branching do?
Microsoft's branching instructions say a branch can move forward to a later question or end the form, but not return to an earlier item. A one-way branching constraint can produce an unintended early submission if the question order is poorly designed, so prototype every route on paper first.
What should be checked before choosing a provider?
The research team must decide what personal information is needed before choosing a platform. Participation agreement, the Article 6 lawful basis and any later marketing permission are separate records. If the provider processes participant data on the organisation's behalf, the ICO guidance identifies matters including instructions, security, subprocessors, rights support and deletion or return at contract end.
